As Manager/Senior Manager, Operations, this is a strategic leadership role that will guide the PIQ team to manage the day-to-day operations on Logistics and Maintenance of SAF equipment in Australia. In this role, you will also co-ordinate the requirements of the contract with SAF in the conduct of SAF’s exercise held in Shoalwaterbay Training Area, Rockhampton, inclusive of their logistical requirements, and the use of MINDEF’s procurement system GEBIZ to ensure financial governance. Uou will be responsible for a variety of tasks designed to ensure the smooth operation of the daily activities and the overall efficiency of the business. Your responsibilities will be:

  • Administrative Support - Provide comprehensive operational and administrative support to PIQ team as part of the management, including managing meetings with client and handling contract governance. Anticipate needs and ensure a smooth flow of daily operations.
  • Meeting Coordination - Organize and coordinate executive meetings, ensuring all necessary materials are prepared, meeting logistics are managed, and minutes are accurately documented. Follow up on action items to ensure timely completion.
  • Document Management - Confirm and edit reports, presentations, and various business documents with PIQ Team and client. Ensure that all documents are accurate, professional, and handled with the highest level of confidentiality.
  • Communication - Serve as a liaison between PIQ management team, SATS and client. Handle inquiries and provide timely, professional responses to ensure effective communication across all levels of the organization.
  • Event Planning - Assist in organizing PIQ events, conferences, and team-building activities. Collaborate with other departments to ensure events are executed flawlessly and meet business objectives.
  • Project Support - Support special projects and initiatives as assigned accordingly, including research, data analysis, and reporting. Work closely with cross-functional teams to ensure projects are delivered on time and to specification.
  • Liaison with Client - Minimally equipped with the appropriate security clearance from MINDEF Security Department as a key interface and liaison to PIQ’s client (SAF). Undertake the necessary access to confidential documents and planning processes with the client.

 

Key Requirements


Requirements

  • Familiarity and experience in MINDEF’s operations and logistics, or a related operational functions (preferred).
  • Familiarity in operating in Rockhampton (Queensland, Austrialia) will be an added advantage.
  • Ability to travel regularly to Rockhampton (Queensland, Austrialia) to provide support to PIQ Management.
  • Possess functional skillsets such as:
    • Exceptional organizational and time-management skills with the ability to multitask in a fast-paced environment.
    • Strong communication and interpersonal abilities, with a professional demeanor and the ability to engage with stakeholders at all levels.
    • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with office management software.
    • Strong problem-solving skills with the ability to anticipate needs and address challenges independently.
    • Attention to detail with a focus on accuracy and high-quality output.
  • Ability to handle sensitive and confidential information with discretion.
  • You are required to obtain security clearance; security clearance of CAT 2 from MINDEF Security Department due to supporting Singapore Armed Forces (SAF).
