Key Responsibilities
The Manager, adminstrative & Business Operations leads a team responsible for delivering administrative, workforce support, compliance, and operational governance services across the organization. The role ensures compliance with regulations and company policies, drives operational excellence, and supports business objectives through effective service delivery, process improvement, and stakeholder management.
Workforce Administration, Compliance and Governance
- Oversee workforce administration processes, including attendance, working hours, overtime, staff allowances, and performance management.
- Ensure compliance with MOM regulations, company policies, and operational guidelines.
- Conduct compliance reviews and audits, identify risks and gaps, and implement corrective actions with stakeholders.
- Provide workforce analytics, reports, and recommendations to support operational decision-making.
Shared Services Operations and Service Delivery
- Lead the administration and deployment of flexi employees to support operational manpower requirements.
- Oversee billing, invoice verification, vendor management, and payment governance to ensure accuracy and compliance.
- Manage office premises, facilities administration, and related stakeholder engagements.
- Ensure efficient and high-quality service delivery across all shared administrative services functions.
Systems, Processes and Continuous Improvement
- Oversee the effective use of systems such as SuccessFactors and internal deployment systems.
- Develop, review, and enhance SOPs, controls, and operational processes.
- Drive process improvement initiatives, system enhancements, and service excellence programs.
- Promote standardization, data accuracy, and best practices across departments.
People Leadership and Stakeholder Management
- Lead, coach, and develop the Shared Administrative Services team to achieve operational and service excellence objectives.
- Foster a culture of accountability, collaboration, and continuous improvement.
- Build strong partnerships with departments, Human Capital Business Partners, vendors, and external stakeholders.
- Manage resources effectively to meet business needs and service standards.
Key Requirements
- Degree in Business Administration, Human Resource Management, Operations Management, or a related discipline.
- With 8 to 10 years of relevant experience in shared services, administration, workforce operations, compliance, or related functions.
- At least 3 years of people management experience.
- Strong knowledge of workforce administration, compliance, and operational governance.
- Experience in audit, process improvement, and vendor management.
- Strong analytical, problem-solving, and decision-making skills.
- Excellent stakeholder management and communication skills.
- Proficiency in HR and workforce management systems.
