Key Responsibilities
The incumbent is responsible for the effective administration and coordination of training activities, ensuring training plans, On-the-Job Training (OJT) structures, assessments, records, and logistics are executed accurately and consistently. The role supports workforce readiness, audit compliance, and timely deployment by maintaining training governance, operational coordination, and data integrity.
- Coordinate and execute approved training plans and schedules, ensuring the timely arrangement of trainees, trainers, venues, and required resources.
- Administer OJT programmes and training progression frameworks, ensuring trainees are appropriately assigned, monitored, and guided through required milestones.
- Monitor trainee progress and identify potential risks, delays, or readiness concerns, escalating issues to supervisors and operational stakeholders where necessary.
- Maintain accurate and up-to-date training records across Learning Management Systems (LMS) and other relevant platforms, including attendance, assessment results, and completion status.
- Ensure training materials and documentation, including curricula, OJT checklists, and assessment forms, remain current, compliant, and consistently applied.
- Coordinate assessment, evaluation, and competency validation activities, ensuring all required documentation and system updates are completed within established timelines.
- Support internal and external audits, inspections, and compliance reviews through the preparation and maintenance of training records, supporting documents, and evidence.
- Provide administrative and logistical support to trainers, coaches, and facilitators, including scheduling, documentation preparation, and resource coordination.
- Act as the primary coordination point between Operations, trainers, trainees, and the Training team to facilitate smooth execution of training activities and communication.
- Support the implementation of training initiatives, process improvements, and programme enhancements, including revised OJT frameworks, learning technologies, and curriculum updates.
- Generate training reports, track key training metrics, and provide administrative insights to support operational planning, compliance monitoring, and decision-making.
- Uphold training governance standards by ensuring adherence to established processes, policies, documentation requirements, and regulatory or audit obligations.
Key Requirements
- Bachelor's Degree in Human Resource Development, Education, Adult Learning, Organisational Development, Engineering, or a related discipline.
- 1 to 3 years of experience in training administration, learning operations, workforce development, or a related field.
- Strong administrative, coordination, and organisational skills with a keen attention to detail.
- Familiarity with Learning Management Systems (LMS), training records management, and scheduling tools.
- Ability to manage multiple priorities and stakeholders in a fast-paced operational environment.
- Good communication, interpersonal, and follow-up skills.
- Comfortable working closely with frontline operations, trainers, and cross-functional teams.
- Able to work independently while adhering to established processes, policies, and guidelines.
- Possession of ACTA (Advanced Certificate in Training and Assessment), ACLP (Advanced Certificate in Learning and Performance), or an equivalent training qualification is preferred.
