Key Responsibilities
- Provide full-spectrum secretarial and administrative support to C-suite; including diary management, prioritization of simultaneous meeting requests, availability, administer all relevant system transaction on behalf of C-suite (travel & expense, employee portal, e-Procurement, IT requests/approvals)
- Arrange and coordinate travel plans, including visa applications and accommodations and processing expenses claims
- Point of liaison to manage internal and external stakeholder calls and appointments and relevant committee meetings associated with C-suite
- General on-site and in-person administrative duties as required; including arranging access to office for guest, booking meeting rooms with refreshments, handling mail, photocopying, scanning
- Effective management, prioritization and routing of verbal and written enquiries between departments to ensure the timely flow of information
- Prepare and distribute accurate and timely meeting agendas and materials
- Manage incoming and outgoing mail, and maintain and update office filing systems
- Provide general administrative support to the department heads as needed; including new hire onboarding, business card purchase, organization of logistics for meetings such as team offsites
Key Requirements
- Prior experience in an administrative or secretarial role preferred.
- Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent organizational and time-management skills.
- Ability to work independently and as part of a team.
- Trustworthy, responsible, and discreet in handling confidential matters.
