Key Responsibilities

 

We are seeking an exceptional Executive Assistant (EA) to provide high‑level administrative, operational, and strategic support to the SVP, Cybersecurity and VP, Technology Business Enablement APAC, ensuring seamless coordination of their activities.  This role will also provide ad hoc support to other members of the global Technology, Data & Excellence (TDX) leadership team, during any business travel to Singapore.

The successful candidate will be a trusted partner, not just a gatekeeper, bringing structure, foresight and discretion to the role. They will have experience of supporting C-Suite -1 or senior leadership, in a large global organisation.  The role requires the EA to work across the stakeholders and employees across the organisation and at levels and requires understanding of how to work in a global environment across multiple time zones. 

The role is based in our SATS Inflight Catering Centre 1 (ICC1) office in Singapore and co-located with our Singapore-based TDX teams.

Key Responsibilities

Executive Support

  • Manage the SVP/VP’s calendar, including scheduling, prioritizing, and coordinating internal and external meetings, considering different time zones and working hours
  • Book meetings rooms and venues for internal and external meetings
  • Maintain proactive oversight of upcoming commitments, deadlines, and strategic priorities to ensure the SVP/VP is prepared and aligned
  • Handle confidential correspondence, communications, and sensitive information with discretion and professionalism
  • Provide support for the TDX leadership team, (the Chief Digital Officer (CDO) and direct reports of the CDO), whenever they are in Singapore for business.  This may include but isn’t limited to scheduling key meetings, booking meeting rooms, organizing team events and travel arrangements
  • Compile and produce any required regular executive reports
  • Prepare presentation and any governance documentation, as required

Operational Activities and Coordination

  • For any regular Cybersecurity or Technology Business Enablement APAC team meetings, support the organization of and running of the meeting from agenda, taking meeting minutes, and action tracking
  • Co-ordinate with other Executive Assistants and external organisations, when needed and provide ad hoc cover e.g. for holiday, sickness, for other EA’s/assistants
  • Issue Security Clearance letters for visitors to ICC1
  • Arrange car parking for visitors
  • Manage airport pass application and renewals for all Singapore TDX employees and vendors
  • Be the Fire Warden for TDX in ICC1 office
  • Order and take stock of stationery and water for the TDX department
  • Undertake other ad hoc tasks e.g. arranging gifts for staff in certain circumstances

Travel and Meeting Logistics

  • Arrange travel, accommodation and itineraries, including commercial flights, ground logistics and visa coordination, in compliance with company policies
  • Provide real-time travel support and contingency planning
  • Organize team events, offsites and team meetings

Expenses and Invoice Administration

  • Manage and reconcile executive expenses accurately and efficiently
  • Oversee corporate card management and ensure compliance with internal policies
  • Check and verify invoices in SAP

Continuous Improvement

  • Identify opportunities to streamline processes, enhance workflows, and improve the operational efficiency
  • Implement tools and templates to support planning, meeting organization, documentation, and reporting

Key Requirements

 

  • Minimum 5 years’ experience supporting C-suite -1 or senior leaders in a global organization
  • Excellent written and verbal skills
  • Exceptional diary management expertise across multiple, international time zones
  • Advanced travel coordination skills with exposure to multi-leg, complex itineraries
  • Advanced proficiency in Microsoft Office suite, (PowerPoint and Excel in particular)
  • Expense management and budget tracking experience
  • Strong organizational and project management skills with exceptional attention to detail
  • Familiarity with working in a technology environment would be helpful but it is not essential
