Key Responsibilities

 

Shipment Coordination & Documentation

  • Arrange and monitor import/export shipments (air, sea, and land).
  • Prepare, verify, and process shipping documents (BL, AWB, invoices, packing lists, permits, health certificate, Halal certificate etc.).
  • Ensure timely submission of customs declarations and regulatory permits (e.g., Tradenet/SFA).
  • Liaise with freight forwarders, carriers, and port operators on booking and shipment arrangements.


Customs & Regulatory Compliance

  • Ensure shipments comply with customs, port, and government regulations.
  • Handle permits, licenses, and approvals required for controlled goods.
  • Maintain accurate records for audits and compliance reporting.

Warehouse & Logistics Coordination

  • Coordinate with warehouse teams on cargo receiving, stuffing/unstuffing, and delivery.
  • Monitor container movements, reefer plug-in/out, and cargo condition.
  • Manage trucking arrangements and last-mile delivery planning.

Cost & Vendor Management

  • Verify freight, port, and logistics invoices for accuracy before approval.
  • Monitor demurrage/detention charges and take preventive actions.
  • Work with vendors (shipper, shipping lines, freight forwarders, transporters) to resolve billing / claim disputes.


Problem Resolution

  • Troubleshoot shipment delays, documentation issues, and cargo discrepancies.
  • Escalate container malfunctions, damages, or insurance claims when necessary.
  • Provide timely updates to internal stakeholders and customers.


Reporting & Continuous Improvement

  • Maintain shipment records and generate reports (shipment status, cost tracking).
  • Identify process gaps and propose improvements for shipping efficiency and cost savings.
  • Support digitalization initiatives (e.g., TradeNet, PortNet, internal ERP).
  • Adhoc and project duties as per required.

Key Requirements

 

  • Diploma / Degree in logistics, supply chain, administration or other related fields.
  • Minimum 1 to 2 years logistics working experience.
  • Proficiency in Microsoft Office (Excel, Word & Outlook).
  • Knowledge of Navision, Microsoft D365 will be advantage.
  • Good time management, ability to multi-task.
  • Must have a customer-orientated approach.
  • Excellent communication skills, both verbal and written.
  • Ability to work both independently and as part of a team.
  • Analytical with good attention to details.
