Key Responsibilities
Support the day-to-day management of ByteDance pantry operations across multiple office locations, ensuring consistent service standards, pantry availability, cleanliness, food safety compliance, and a positive employee experience. The role will serve as the primary onsite coordinator for pantry services, working closely with client stakeholders, pantry assistants, suppliers, group procurement, and internal support teams to maintain operational excellence and service reliability.
1. Pantry Operations Management
- Oversee daily operations across all assigned pantry locations.
- Ensure pantry points are fully stocked, operational, clean, and compliant with client standards at all times.
- Monitor pantry consumption trends and coordinate replenishment activities to prevent stock shortages.
- Conduct routine inspections to ensure pantry facilities, equipment, coffee machines, and refrigerators remain operational.
- Escalate operational issues and coordinate corrective actions promptly.
2. Customer Experience & Stakeholder Engagement
- Serve as the onsite representative for pantry-related operational matters.
- Engage client stakeholders regularly to gather feedback and identify improvement opportunities.
- Support special events, employee engagement activities, and pantry activations.
- Respond professionally to pantry-related service requests, complaints, and enquiries.
- Drive timely service recovery and follow-up actions when required.
3. Inventory & Supplier Coordination
- Monitor pantry inventory levels and consumption patterns.
- Raise replenishment requests and coordinate deliveries with suppliers and internal procurement teams.
- Verify quantities, quality, and condition of goods received.
- Minimise stock wastage through proper stock rotation and inventory control practices.
- Maintain accurate inventory and consumption records.
4. Operational Excellence & Compliance
- Ensure strict adherence to ByteDance and SATS operating procedures, service standards, and client requirements.
- Conduct regular audits of pantry presentation, product quality, hygiene, housekeeping, and service readiness.
- Ensure compliance with food safety regulations, hygiene requirements, and workplace safety standards.
- Maintain inspection readiness at all times.
5. Team Supervision & Training
- Supervise Pantry Assistants and ensure deployment plans are executed effectively.
- Conduct daily briefings and operational updates with onsite teams.
- Train team members on SOPs, service standards, food safety requirements, and client expectations.
- Monitor staff performance and provide coaching where necessary.
- Ensure proper escalation of manpower or operational challenges.
6. Reporting & Data Management
- Prepare weekly, and monthly pantry operation reports.
- Track key performance indicators
- Identify improvement opportunities and recommend corrective actions.
- Support management reviews with operational data and insights.
7. Administrative Support
- Maintain pantry records, checklists, equipment logs, and compliance documentation.
- Support delivery orders verification and operational record keeping.
- Assist in implementation of new pantry concepts, product launches, and workplace initiatives.
Key Requirements
Preferred Experience & Competencies
- Diploma or Degree in Hospitality, Food Services, Business, or related field.
- Experience in pantry management, hospitality services, catering operations, facilities management, or workplace services.
- Strong customer service and stakeholder management skills.
- Good organizational and inventory management capabilities.
- Familiarity with food safety and hygiene practices.
- Proficient in Microsoft Excel, PowerPoint, and reporting tools.
- Able to work in a fast-paced corporate environment and manage multiple pantry locations simultaneously.
